How To Plan For Event Security

The main objective of an event security plan is to:

  • Provide an environment that is safe for staff and visitors
  • Prevent the event and/or services from disruption
  • Protect the venue from damage or losses

Who is responsible for what

The organiser

As an organiser you have a duty of care to ensure that those attending your venue are safe and that the venue itself is secure. It should be the responsibility of the event management procedure to identify areas of risk and then prioritise which areas are acceptable and which areas need careful monitoring.


It’s the role of security to carry out the services outlined by the event organiser, as agreed by the venue operator, and as detailed within the security plan. All security guards must be employed by a registered company and be fully licensed.

Information required by the security company

The security planning needs to developed alongside the event planning and not as an afterthought. To be able to provide the event manager with an effective security plan, the following information needs to be given to the security company:

  • Name of the event
  • Location
  • Times (doors open, event, crowds to be cleared)
  • Season (summer or winter)
  • Target audience
  • Estimated numbers
  • Entertainment – type of music, program, time frame etc.
  • Previous areas for concern
  • History of event
  • Knowledge of any other events being held in vicinity on the same day
  • Budget

Identify key security information

Every venue is different and therefore an experienced security company should be able to put together a plan identifying key security information. This is usually in a bullet list so it’s easy to refer to and is usually handed out to each individual security guard who’ll be present at the event, so they know just what to expect.

All of the above information will help the security company determine just how many guards are needed to ensure that visitors and staff alike enjoy the event and that nothing is compromised.
